Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Profiles

Members of the app have profiles that are visible to other members of their group and admins of the organization. We collect this information to facilitate communication and enhance your experience with other members of your group. The types of personal information collected are:

On some pages, you can submit information about other people. Administrators and facilitators can add profile information about their members. In this circumstance, the types of personal information collected are:

App Chat

If you use the chat feature, the chat and its metadata are retained indefinitely. The chats will be shared with all members of your group. We collect this information to facilitate communication with other members of your group. [What happens when you delete a chat?]

Visitor Chat

If you engage in a conversation via our support tool (Powered by Smallchat) your information will be sent through Smallchat’s server. Please read their Privacy Policy for more details on how your information may be stored or used. Mastermind Manager Inc. uses your email to identify and communicate with your regarding the app.

Attendance Tracking

If you attend a virtual meeting in the app, the length of your attendance will be captured including start and end times. Other members in your group and admins of the organization will be able to view this information within the app.

Virtual Conferencing

Mastermind Manager Inc. uses a third-party, open-source tool for our video conferencing solution. We host our own instance of the tool at meeting.mastermindmarshal.com. Your name may be sent between our internal servers, but they are not shared with any third-parties through the use of this feature.

Support Library and Requests

Mastermind Manager Inc. uses a third-party tool for providing support to our users. Mastermind Manager stores your email in order for us to reference your request and provide support. Mastermind Manager automatically collects and receives certain data from your computer or mobile device, including the activities you perform on the Site, the Service, the Supported Platforms, the type of hardware and software you are using (for example, your operating system or browser). For example, each time you use the Service, they automatically collect your IP address, browser and device type, access times, the web page from which you searched, the regions from which you navigate the web page, and the web pages you access. Please read their Privacy Policy for more details on how your information may be stored or used.

We use return email addresses to answer the email we receive. Such addresses are not used for any other purpose and are not shared with outside parties. We use non-identifying and aggregate information to better design our website.

Who we share your data with

Mastermind Manager Inc. may share contact information, such as an email and name with select partners who help users find and join mastermind groups, upon the user’s request. We do not share any other personal data for advertising or any other purpose.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Where we send your data

Payments and billing related transactions are facilitated using Stripe. For more information, please read their Privacy Policy. SmallChat is used for visitor chat services and messages will be sent through their servers and may also be stored on Mastermind Manager Inc.’s private Slack channel. Google Analytics stores all behavior tracked on site for optimization and marketing purposes.

You can register with our website if you would like to receive our newsletter as well as updates on our new services. Information you submit on our website will not be used for this purpose unless you fill out the registration form. MailChimp is our email provider and email and name information are stored in MailChimp for sending emails to our registered users.

Industry regulatory disclosure requirements

This site utilizes caching in order to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary.

How we protect your data

Mastermind Manager has implemented various measures to ensure that the information is adequately protected against unauthorized access, use, disclosure, and destruction. Please keep in mind that risk can never be eliminated but can be significantly mitigated and reduced. You should bear in mind that submission of information over the internet is never entirely secure.

All measures which Mastermind Manager has taken significantly reduce the risk. Mastermind Manager shall not be held liable by any third party, including you, in any event of unauthorized access, use and/or disclosure of information provided that such is not due to Gross Negligence, willful misconduct, fraud or bad faith by Mastermind Manager.

Security measures adopted by Mastermind Manager include:

Access to the information stored within Mastermind Manager’s servers is restricted to a limited number of Mastermind Manager employees;

We use industry best practices to keep any information collected and/or transmitted to the Supported Platforms secure. The Site and the Service are all secured by SSL protocol, which provides encryption to all data transmitted;

Mastermind Manager’s servers are protected by a) firewalls establishing a barrier between our trusted, secure internal network and the Internet and b) IP restrictions, limiting access to whitelisted IPs;

Mastermind Manager uses third-party vendors and hosting partners (such as DigitalOcean) to provide the necessary hardware, software, networking, storage, and related technology to run the Services. When payments are processed via credit card, Mastermind Manager uses third party vendors that are PCI_DSS compliant;

Mastermind Manager reviews its information collection and processing practices periodically and will review and amend this Privacy Policy accordingly.

Mastermind Manager uses third party vendors to prevent attacks on the Site or the Service and destruction or theft of its data. Such vendors also monitor potential attacks to allow Mastermind Manager to inform its Customers in the event their Customer Content and/or Mastermind

Manager Data has been compromised;

Mastermind Manager takes reasonable security measures to protect your personal information to prevent loss, misuse, unauthorized access, disclosure, alteration, and destruction. Please be aware, however, that despite our efforts, no security measures are 100% bulletproof.

Our commitment to children’s privacy
